Delegating the wrong way

I believe that delegation is the willingness and ability that people should have to assign tasks and grant responsibilities to the people they hire.

Any project, however simple, has very different areas that require specific skills and competencies. Only one person cannot be expected to perform them all with the quality that ensures the right development of the project.

No matter how skilled you are. Although you have many skills, there comes a moment in which trying to do everything yourself can slow down the progress of your project.

As I said in another post we must prepare to delegate. If you haven’t read it yet you can do so by clicking here

Now I want to talk about some mistakes that entrepreneurs make when delegating.

1. Small businesses often delegate to family members or close friends, and, of course, not based on skills and abilities but based on family ties or friendship, which is not a good decision.

2. Even if they don’t delegate to a member of their family or a friend, they don’t take the necessary time to look for the most appropriate person or assistant. You must choose a person who has the necessary skills and characteristics to perform the assigned tasks or activities, for example, a virtual assistant or someone who is a specialist in an area.

3- They do not have a clear job definition. It is more beneficial to transfer secondary tasks to efficient people than doing them yourself, as this will allow you to have more time to focus on decision making and the development of new projects.

4- They don’t explain the reason and purpose of the delegation. All people need to understand the reason behind every situation. Similarly, it is more advantageous that the people you hire perform the tasks knowing the reason and purpose of the given task.

5-They look for help only when they are overwhelmed by work. Taking decisions under stress, does not allow you to make the best decisions.

6- They don’t give precise instructions. Delegating does not mean simply giving a task to other person, but to provide explicit instructions on what to do. The more explicit instructions are, the more certainly is that the task is well done.

7- They don’t follow up. Once the job is in progress, follow up to make sure employees are meeting your standards and delivering exactly what you need.

8- They don’t give feedback. Let your Virtual Assistant know what works for you and what she did that you like. If there are corrections to be made or some processes to improve, let her know too.

9- They micromanage. Micromanagement is neither productive (for the entrepreneur) or efficient (for the employee or freelancer).
Micromanaging creates lower productivity for you since you spend less time working on your tasks, and tells employees that you do not trust their work and judgment. When they realize that you don’t them, they shut down, and stop making suggestions.

Delegating is not a science, but it requires patience and practice.
Taking the time to learn how to delegate and making your employees meet your needs is the only way to go further with your project and free up time to do more valuable things for your company.
